Privacy policy

This policy explains what information Kode Nexus (“we”, “us”) collects through this website,www.kodenexus.com, why, and what you can ask us to do with it. It covers the website only. Data that organisations keep in the Kode Nexus apps is covered by our agreement with each organisation.
What we collect
When you contact us
The contact form asks for your name, email address and message, and optionally your phone number, organisation and the product you’re interested in. We also record the page you sent it from, the time, your IP address and your browser’s user-agent string, so we can spot abuse and follow up on the right enquiry.
When you sign up an organisation
The sign-up form asks for the organisation’s name, the owner’s name and email address, and an optional promotion code. Submitting it creates an organisation record and emails the owner an activation link. Nothing is active until the owner uses that link; then the organisation’s trial starts. We also keep the same technical details as for the contact form.
Spam protection
Both forms use Cloudflare Turnstileto check that a person, not a bot, is sending them. Turnstile processes technical information about your browser and connection for that purpose only. See Cloudflare’sprivacy policy.
How we use it
- To reply to your enquiry and, if you signed up, to set up your organisation and its trial.
- To email you an acknowledgement or, if you signed up, an activation link and notices about your trial.
- To protect the forms against spam and abuse.
- With your consent only, to understand how visitors use this site (see Cookies and analytics).
We don’t sell your information, and we don’t use it for advertising.
Who processes it for us
- Amazon Web Services hosts this website and our servers, and sends our email (Amazon SES).
- Cloudflare provides the Turnstile spam check.
- Google provides Google Analytics, and only if you accept analytics cookies.
- Our email provider receives replies sent to sales@kodenexus.com.
Cookies and analytics
We use Google Analytics 4 to count visits and see which pages and forms are used. It is off until you accept it in the cookie banner. Until then, no Google Analytics script is loaded and no analytics cookies are set. If you accept, Google Analytics sets cookies named_ga and _ga_*. We use Google’s Consent Mode with advertising storage always denied, so nothing is used for advertising.
Your browser also stores two small settings for this site only: your cookie choice (kn-consent) and, if you pick one, your colour theme (kn-theme). They never leave your browser.
You can change your choice at any time with Cookie settings at the bottom of every page. Rejecting analytics also removes the Google Analytics cookies this site has set.
How long we keep it
- Enquiries from the contact form: up to 24 months after our last contact with you.
- Sign-ups that are never activated: up to 12 months, so we can answer questions about them.
- Activated organisations: for as long as the organisation uses Kode Nexus, under our agreement with it. The change history of account records is kept for 3 years.
- Google Analytics data: as set in our Google Analytics retention settings, at most 14 months.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we don’t need to keep it. Email sales@kodenexus.comand we’ll reply within one business day and act on your request within 30 days.
Security
The forms send your information to our servers over an encrypted connection. Access to it is limited to the staff who need it, and access to account records is logged.
Changes to this policy
If we change this policy, we’ll update the date at the top of this page.
